HTC Executive Meeting Minutes

April 28th, 2015

The Huntsville Track Club held an executive board meeting on April 28th, 2015 at the Jaycees Building following the CRR Meeting. The meeting was called to order by President Eric Fritz at 6:30 pm.

Board Members present: Eric Fritz (President), Alex Clark (VP-Races and Equipment), Regena Moore (Secretary) – via phone, Kathy Youngren (Treasurer), Harold Tinsley (Appointed Member – Past Board Member), Dink Taylor (Appointed Member – Cotton Row Director), and Suzanne Taylor (Appointed Member – Rocket City Marathon Director).

Board Members Absent: Karen Gelmis (VP – Programs), DeWayne Satterfield (VP – Communications)

MEETING TOPICS:

> DAVID MCKANNAN MEMORIAL RUN

HTC has agreed to take over the directorship of the David McKannan Memorial Run, scheduled for May 30, 2015. It is expected that an agreement detailing the revenue split from the race will be arrived at soon. A draft agreement has been provided to the ALS Alabama Chapter for review. The memorandum of understanding (MOU) will also clarify roles and responsibilities. It was recommended that the current race day is rescheduled for early may so it does not conflict with the Cotton Row Runs. The race has been added to the HTC Race Calendar but the contract has not been signed yet and they are not currently listed under our RRCA Insurance policy. Regena will send a HTC Membership Application to Billy Burleigh, Race Director, for completion. Their participant goal in years to come is 1,000 participants. This will be primarily a fundraising event. The course will also need to be certified.

> HOBBS ISLAND 10K TO BENEFIT HTC SCHOLARSHIP FUND

The event date and location has been set for November 28th, 2015 Saturday - 8:00AM at Ditto Landing. The Race Director is Martin Schneekloth and he is in the process of designing a logo, finalizing entry fees and marketing the event. Suzanne has agreed to advertise for him at CRR if he can have his marketing materials ready by May 15th.

> COTTON ROW RUNS

Volunteers are needed for Packet Stuffing on May 16th. Regena will send out an email blast to all HTC Members to sign up on VolunteerSpot. Suzanne is planning for 4,500 participants. What marketing material does HTC want to include in the race packets?

> SUMMER XC RUNS

Todd Parsons, new Race Director, needs to be briefed on what has been done in the past and needs help with planning / execution. How will timing / results be handled?
